Roster Teachers & Staff on Wayground via Clever as an Administrator

As an Administrator, you can sync teacher & staff rosters from your school district into your Wayground Plan via Clever. This enables Wayground to automatically sync these rosters, which saves time, reduces errors, and enhances security. For a quick overview of rostering via Clever and all its benefits, click here.

In this article, we will list the steps you can take to integrate with the Wayground Rostering App on your Clever Portal. We will then discuss how you can initiate Clever rostering on Wayground to complete the process. 

Step 1: Integrate with the Wayground Rostering App on Clever 

Note: Your School District needs to have both integrations — the Wayground app (District SSO) and the Wayground Rostering app — on Clever.

  • The Wayground Rostering app is only visible to Admins on the Clever portal. Teachers and students cannot view this app.
  • The Wayground app (District SSO integration) will be visible to teachers and students on your Clever portal and enables them to seamlessly SSO into Wayground. 
  1. Contact your Wayground Customer Success Manager and request integration with the Wayground Rostering App for your District on Clever.
  2. Once you receive an invite on your Clever Portal, click on 'Preview invitation' and then click on 'Accept' to approve the integration.

  3. Review the information in the 'Guided Sharing' pop-up window and click on 'Get Started' 

The next step is to configure sharing permissions to determine what data should be shared with the app and which district users should be able to access Wayground from their individual Clever Portals. We would recommend that you select only the schools that will use Wayground. If an entire district is being onboarded to Wayground, select the 'Share all records in my district' option.

Next, it's time to review data errors. Wayground requires all Clever users to have an email address. If there are any records with missing email addresses, they will be highlighted as Data Errors on your Clever Portal and will indicate that data needs to be further optimized for Wayground. 

Once these steps are complete, data syncing will begin to take place asynchronously. You can then proceed to initiate rostering on Wayground. 

Step 2: Initiate Clever rostering on Wayground

Once you have completed Step 1, please reach out to your Customer Success Manager to trigger rostering on Wayground.

  • Rostering on Wayground will be initiated once your Customer Success Manager has completed the configuration on our systems. The sync might take up to a couple of hours to complete once configured, depending on the size of your school district.
  • After the initial setup, the sync will run nightly.
  • You can also trigger the sync manually from the Roster Members page by clicking on the Sync Rosters button on the Clever tile.

You can monitor the status of your Rostering from the Roster Members page.

Once rostering is complete, you will be notified by email. Then, you can view your rostered teachers and staff on the Manage Members page on Wayground.
